The Administrative Coordinator is responsible for providing administrative support for the Director of Education, Director of Psychology Training, and! Director of Social Work Training. Under minimal supervision, the Administrative Coordinator is responsible for organizing, executing, and maintaining day-to-day operations of the Education Department, Clinical Psychology and Social Work Training Programs. The Administrative Coordinator serves as liaison to other Menninger clinicians and staff, Baylor College of Medicine faculty and staff, and the public as required.
KEY FUNCTIONS
- Provide administrative support for the Director of Education .
- Serves as administrative liaison between Director and others within and outside the organization, as well as members of the Education Committee of the Menninger Clinic Board of Directors
- Assists in development of annual budget forecast, providing data for the Director.
- Assists the Director with work related to internal education (Fellowships; Residencies; Staff Education/CEUs) and external educationâ"including a program of lectures, wor! kshops for clinicians and professionals, seminars, training pr! ograms and presentations at national conferences, and projects that engage staff around an integrated educational mission.
- Maintains appointment calendar for Director
- Assists with preparation of grant submissions
- Attends meetings as required, to facilitate continuity and coordination of projects, which includes preparation of meeting agendas, recording and distribution of minutes (Education Management Group and Training Council)
- Assists with preparation of publications, including tables, figures, and references
- Handles a large volume of phone calls in a professional manner
- Processes incoming correspondence
- Prepares PowerPoint presentations, excel spreadsheets, and various reports
- Handles all travel arrangements and processing of travel reimbursement in a timely manner for staff and visiting consultants
- Processes for payment professional membership dues
- Orders and maintains office suppl! ies, and processes other procurement as required
- Processes leave requests
- Performs other related duties following standard office routine, practices and procedures or instructions
- Provide administrative support for all Baylor College of Medicine Trainees (at Menninger) and Menninger Social Work Training Program.
- Serves as key contact person for the training programs
- Coordinate all aspects of the onboarding process for BCM trainees at Menninger and Menninger social work trainees
- Maintains accreditation files for training programs
- Coordinates application and interview process for the training programs, including tracking of incoming applications and review status
- Establishes and maintains program files for each trainee and for program activities
- Updates and distributes program policies and procedures
- Assists training directors with preparation of program schedules. Distributes finalized ! schedules to trainees, faculty and staff.
- Provides timely, acc! urate responses to inquiries about training programs or past participants and graduates as appropriate
- Collects and files attendance records from each instructor according to the requirements of each training program
- Assists Directors with development of brochures and advertisements
- Provides administrative support for licensure for fellows and for termination on completion of training accurately and in a timely manner
- Provides assistance to Psychology and Social Work training directors with verification of current or past training
- Karl Menninger School of Psychiatry (KMSP) residency training records
- Perform other job-related duties as assigned, to include participation on selected task forces and committees.
- Demonstrates ability to perform a variety of duties, maintains flexibility as department needs change, and accepts additional assignments willingly
- Provides coverage for Administrative Coordinator (! Research)
EDUCATION
Required: High school diploma or equivalent education.
EXPERIENCE
Required: Seven (7) years of office experience. College training may be substituted for experience. Able to compose and prepare correspondence, prepare spreadsheets, prioritize tasks, professional telephone communication, use office equipment and understanding of advanced office procedures.
