WORK HOURS: 20 Hours/Week.
Performs moderately complex clerical work including preparing, editing and distributing! correspondence, reports and forms for the Job Center. Works under the supervision of the Job Center manager with moderate latitude for the use of initiative and independent judgment. Maintains a positive and favorable attitude in working with and accommodating staff, patients and visitors/applicants. Other duties include but are not limited to answering the phone, taking messages, running errands and assisting applicants/visitors. Must be willing to work overtime when necessary to meet deadlines. Supports the mission and vision of the facility. Must understand that duties, location of work and shift patterns are subject to change as determined by the administration to meet the needs of the hospital. Must understand that the duties may include exposure to blood or other potential infectious materials. Employee actively participates and/or serves in a supporting role to meet the agency's obligations for disaster reponse and/or recovery or Continuity of Operations (COOP) acti! vation.
Essential Job Functions:
Attends w! ork on a regular and predictable schedule in accordance with agency leave policy and performs other duties as assigned.
Assists in the new hire process, including but not limited to, preparing non-select letters, conducting reference checks and sexual exploitation checks and ensuring the completion and tracking of due diligence activities. Monitors and tracks drug screen and criminal background check (CBC) results in due diligence and apprises FCTD regarding CBC status. Gathers, assembles and copies new hire packets/forms for orientation, ensuring most current forms are being used. Assists with other duties in the Job Center such as assisting applicants/visitors with applications, answering questions and redirecting them to appropriate staff; picking up and delivering mail, filing and assisting with answering the telephone. (50%)
Daily faxes and files applications. Regularly distributes PNA I applications to the unit supervisors. Regularly reviews register! ed nurse I and LVN II applications and verifies licenses for distribution by the JRC. Regulary reviews psychiatrist applications for distribution by the JRC. (15%)
Runs or edits monthly reports such as salary rosters, alpha rosters, active position rosters and address rosters and distributes to staff according to distribution plan. (5%)
Assists with pre-interview application process/paperwork and post-hiring paperwork, including collating, faxing, organizing, scanning, distributing, tracking and filing documents/files. Reconciles drug screen paperwork. (25%)
Performs other duties as assigned in order to ensure services are provided. Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency's obligations for disaster reponse and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location. (5! %)
Knowledge Skills Abilities:
Knowledge of busines! s or program terminology, office procedures, spelling, punctuation and grammar; of records administration and maintenance techniques and procedures.
Skill using a personal computer and office equipment.
Ability to prepare, organize and maintain records, files and reports.
Registration or Licensure Requirements:
None.
Initial Selection Criteria:
At least six (6) months of full time experience in a clerical position.
Experience using a computer, including the use of Microsoft Office software.
Experience preparing, organizing and maintaining records and reports.
Prefer graduation from a standard senior high school or equivalent.
Experience working with the public.
Additional Information:
Part-time position: WORK HOURS: 20 Hours/Week. Schedule can vary based on the needs of the department.
Mandatory training classes are Mon - Fri, 8AM - 5PM, the first three (3) weeks of! employment, with paid overtime.
