Job Purpose
Under the direct supervision of the Assistant Director
of Operations (ADO), this position is responsible for
overseeing all business functions associated with one
(1) adult mental health clinic. This position will
manage the staff that will carry out the clinic
responsibilities. The Business Functions include, but
are not limited to: MAR completion, Facilitating CARE
Cross-Referencing, Maintaining Referral Triage and
Processing, Timekeeping, data entry, purchase and supply
maintenance, receptionist, scheduling, and client record
maintenance on site. This position will provide direct
supervision of all clerical staff. In addition it will
act in the role of liaison between inter and intra
agency programs.
Essential Functions
Conduct program analysis to identify system issues and
recommendations for effective and efficient use of
resources. Implements solutions and advises the ADO of
actions or needs of assistance.
Works with Clinic Program Manager to ensure day-to-day
operational aspects of assigned clinics are addressed
Works with JPS and Sheriffâs Department to ensure
Medication orders are processed as indicated.
Ensured self or designee completes all data entry per
Operating Procedures
Performance Requirement(s):
Ensure client identification and diagnostic
information is entered accurately.
Ensure Service activity Logs (SAL), are entered
within 24 hours of the time of service.
Ensure client Tracking information is entered
accurately and within 24 hours of the time of
service
Ensure all clinical forms are entered into the
billing system accurately on a daily basis. Examples
of clerical forms include, but are not limited to:
Treatment Plans, Discharges and Referral Forms.
Ensures client appointments are set as indicated by
the service provider.
Responsible for making sure the medication orders
are processed on a daily basis
- Ensures clerical staff are properly trained on
- Orders are faxed no later than the day after
- MARâs are completed no later than the day after
Ensures medication information, medication
expiration information and follow up weeks is
entered and maintained.

- Ensures charts are created according to Client
workday of Service Provider turning in
paperwork.
- Ensures charts are pulled for the next dayâs
- Released from custody (RFC) lists are pulled
- Ensures charts are filed back at the end of each
- Ensures documents are filed accurately and
- Ensures discharged charts are transferred to the

Responsible for coordinating multiple physician
credentials with both MHMR and JPS
Responsible for processing or assigning a designated
staff to process Payroll timesheets and
purchasing/payables per Operating Procedures.
- All timesheets are collected and verified for
by the due date.
- Purchase requisitions and check requests, as
accurately.
- Proper accounting codes provided by the Program
purchasing payable documents.
- Proper authorized signatures will be obtained on

- Will complete all MHMRTC training required
annual updates as needed.

researched for MH hx in CMHC and CARE
- Ensure outcome is forwarded to Sheriffs Dept.,
Referrals
- Insure that 2400 referrals for service each
- Each referral is accounted for and the response
- Reports are run from CMHC on monthly basis to
- Reports are given to PM and TL weekly on status
