The Office Supervisor will manage the daily operations of the Career and Counseling office including supervising of secretaries and student workers. Provide administrative assistance to ! career and counseling staff. Monitor and reconcile eight budget accounts, process payroll and all business related documents. Assist the Director in budget development, in generation of reports and other office related documents. Assist with administrative policy and procedure development.

Manage and supervise the daily operations of Career & Counseling Services. Supervise Career Services front desk secretary, general half-time secretary and Counseling Services Administrative Secretary. Provide front desk coverage during employee breaks, vacation, and sick leave. Interview, hire, supervise and evaluate Counseling Services Administrative Secretary, Career Services Front Desk Secretary and Half-time Secretary. Hire, track financial aid awards for College Work Study Student Workers. Hire Non College Work Study Student Workers. Maintain and update University, departmental and office management policy and procedures, including Office Supervisor manual. Utilize Microsoft! Office, Titanium Schedule, and Jobs4Hawks software. Provide a! dministrative support for all service functions of office including; career services, counseling services, testing, and cooperative education. Responsible for yearly inventory of tagged items including maintaining and updating the tagged hardware record.

Post, reconcile and monitor eight budget cost centers including two grant cost centers and PI support. Process business related documents including vouchers, requisitions, printing orders, travel requests. Responsible for daily cash deposits of Career Services Jobs4Hawks database, job fairs, career events, testing, and psychiatry fees. Tracking, posting and on-line reporting of department P-Cards. Maintaining the security of three cash change funds including yearly on-site, unannounced audit. Post documents for the eight cost centers to internal Excel spreadsheets and balance to PeopleSoft. Initiate travel arrangements including use of one-time hotel credit cards, processing reimbursements, posting and reconciliati! on in PeopleSoft. Contract management including vendor set up, creation, maintenance and payment of all contracts.

Assist Director in collecting data and generating reports including budget and component analysis. Answer routine correspondence requiring the Director’s signature and complete other tasks as assigned. Retrieve and distribute mail daily to all Career & Counseling Services staff members. General administrative support for the Director and department. Provide administrative support and participate on search committees to fill vacant positions including on-line posting and tracking in SAM . Maintain confidential Career & Counseling files and process personnel actions. Other duties as assigned.

Minimum Requirements

High school diploma or GED .

Five years of office support experience in a fast-paced high traffic environment, including two years in an administrative/management position.

Three years of word processing, sp! readsheet and/or database experience.

One year of account/book! keeping experience with two years of supervisory experience.

Must have clear, precise and effective oral and written communication skills. Ability to operate a personal computer using MS office applications, desktop publishing software, and enterprise database. Ability to read and understand the budget cost centers using the internal reconciliation and financial records system (PeopleSoft) in order to balance the cost centers. Ability to listen and communicate on a professional level about our office services as they relate to students.

Ability to relate empathically, effectively, and consistently with diverse student population, with sensitivity to cultural differences. Ability to prioritize work with a strong attention to detail, highly organized and be flexible to meet the needs of students during peak work flow periods while maintaining confidentiality. Ability to supervise and train secretarial and front desk staff and manage daily office operations. ! Must possess strong interpersonal skills which demonstrate a customer-service oriented attitude with the ability to serve highly distressed or difficult clients.
